Commercial Photography Proposal Template

A commercial photography proposal sells two things: the images, and the right to use them. This template plans the shoot from mood board to retouched files, offers three packages, and sets out the usage license plainly, so the client knows where and for how long they can use every image.

The Brief

[Summarize the brief, for example: product images for a new line of 12 skincare products, on white for the online store, plus lifestyle images for the launch on the website, social media, and email.]

How We'll Work

Pre-production. A mood board and shot list for your approval, covering every product, angle, and setup. We'll book the studio and source props, and any models or stylists the shoot needs.

The shoot. A production day in the studio with a photo assistant, lighting, and tethered capture, so you can see and approve images on screen as we shoot. You're welcome to attend in person or join remotely.

Post-production. Color correction and retouching of every final image, from dust and blemish removal to background cleanup, delivered in the sizes and formats you need.

What You'll Receive

  • Retouched images as high-resolution and web-ready files
  • Products on white with consistent framing and shadows for your online store
  • An online gallery to review, select, and download images

Usage License

[Company Name] keeps the copyright in all images. On full payment, [Client Name] receives a non-exclusive license to use the delivered images in the media and for the term in the selected package, starting on delivery. The license covers [Client Name]'s own channels and can't be transferred or sublicensed. Paid print advertising, packaging, billboards, and use beyond the term need an extended license, which we're happy to quote. Model releases cover the same media and term.

Timeline

We can shoot within three weeks of your signed approval, and deliver retouched images within 10 business days of your final selection.

What We Need From You

  • Products at the studio at least five business days before the shoot, with a list
  • Approval of the mood board and shot list a week before the shoot
  • One person who can approve images on the day
  • Your selections from the gallery within five business days of the shoot

Rescheduling and Cancellation

You can reschedule once at no charge with at least seven days' notice. Within seven days of the shoot, 50% of the creative fee is due, along with any studio and crew costs we can't recover.

Payment Terms

50% of the selected package is due on signing to reserve the shoot date, and 50% on delivery. Invoices are due within 15 days. Images are delivered and licensed once paid in full.

Frequently asked questions

How do photographers price commercial work?

Commercial quotes usually separate the creative fee (the photographer's time and expertise), production costs such as assistants, studio, and styling, and a usage license priced by where the images will appear and for how long.

What is a usage license in photography?

Permission to use the images for agreed purposes, such as the client's website and social media, for an agreed period. The photographer usually keeps the copyright. Broader use, like print advertising or packaging, or a longer term, costs more.

Is this commercial photography proposal template free?

Yes. Read and copy the full text on this page, or edit it online and see it as your client will. When it's ready, start a free Clientary trial to send it or download it as a PDF.

Has a lawyer reviewed this template?

No. It's a general starting point written by Clientary, not legal advice, and it hasn't been reviewed by a lawyer for your situation or the laws where you and your client work. Have your own counsel review it before you use or sign it.
